Refunds, cancellations, and rescheduling
How deposits, cancellations, and refunds work for advisory consultations with DataSource Business Advisory.
Scope
This policy covers paid advisory consultations — cash-flow planning, budgeting frameworks, financial controls reviews, workshops, and retainers — agreed with DataSource Business Advisory. It does not cover goods, software subscriptions, or third-party products, which we do not sell on this site.
Cooling-off for distance contracts
If you book as a consumer (unusual for business advisory, but possible), you may have a fourteen-day cooling-off right under UK consumer law for distance contracts. If you ask us to begin work during that period, you may be charged for work already performed if you then cancel.
Deposits and commencement invoices
Engagements typically require 50% on commencement. That payment secures diary time and covers early diagnostic work. It is refundable in full if we cancel. If you cancel more than ten working days before the first scheduled working session, we refund the commencement invoice minus a £150 administration charge. Cancellations inside ten working days forfeit the commencement invoice unless we can reassign the slot; in that case we refund 50% of the commencement payment.
Work already started
Once discovery materials have been reviewed or a working session has begun, fees for completed stages are non-refundable. Unused later stages may be refunded proportionally or credited toward a rescheduled date within three months, at our discretion and yours.
Partial refunds
If we end an engagement early because we cannot obtain the numbers needed to continue, we charge only for stages completed and refund the balance of prepaid fees within fourteen days of our written notice.
Non-refundable items
- Complimentary discovery calls (no charge applies)
- Third-party costs you approve in writing (for example room hire for an on-site workshop)
- Retainer months already started when notice to pause or end is given
Retainers
Monthly retainers may be cancelled with thirty days’ written notice. Prepaid months not yet started are refundable. The current month is charged in full.
No-shows and late rescheduling
Missing a scheduled session without twenty-four hours’ notice counts as a delivered session. Rescheduling with at least twenty-four hours’ notice is usually free for the first change; repeated short-notice changes may incur a £75 diary fee.
Refund method and timing
Approved refunds are paid by bank transfer to the account that paid the invoice, within fourteen days of approval. We do not issue cash refunds.
How to request a refund or cancel
Email hello@datasource-tools.digital with your engagement reference, company name, and reason. You may also call 078 6489 6464. We confirm receipt within two working days and outline the refund calculation where applicable.
Exceptions
Nothing in this policy limits mandatory rights under UK law. Statutory accounts, insolvency, or regulated investment advice are outside our services and therefore outside this refund framework.
